Coworking Space Rules & Policies

These rules are established to ensure a safe, professional, and productive working environment for all members. All members, visitors, and guests are required to comply with the following policies while using the coworking premises.

1. General Conduct

1. All members must maintain a professional and respectful environment within the coworking space.

2. Members must respect the personal space, privacy, and working environment of other coworkers and refrain from any intrusive behavior or unnecessary disturbance.

3. Noise levels must be kept to a minimum to ensure a productive work atmosphere. Phone calls and extended discussions should be conducted in designated areas.

4. Any verbal disputes or issues should be avoided. Members are requested to report concerns through official communication channels.

2. Workspace Usage

5. Members must adhere to the number of seats allocated in their membership plan. Allowing additional individuals without permission will be treated as unauthorized access or trespassing.

6. Meeting rooms must be reserved in advance and members must adhere to their allotted time slots to allow fair usage by others.

7. Members must clean up after themselves and maintain cleanliness in common areas such as meeting rooms, pantry areas, and workspaces.

8. Members must not leave personal belongings unattended and must respect the property of others.

9. Any damage caused to furniture, equipment, or property of the coworking space will be charged to the responsible member.

3. Food & Pantry Policy

10. Food and beverages must be consumed only in designated areas. Members are responsible for disposing of waste properly and maintaining cleanliness.

11. Spills or mess created by members must be cleaned immediately to maintain hygiene within the workspace.

4. Smoking, Alcohol & Prohibited Activities

12. The building is a 100% No Smoking and Tobacco Zone. Smoking or consumption of tobacco products within the premises may result in penalties.

13. Consumption of alcohol or prohibited substances within the coworking space is strictly prohibited.

14. Any illegal activities, fraudulent business operations, or misuse of the coworking address are strictly prohibited.

5. Internet & Technology Usage

15. Internet facilities are provided for professional and business purposes only. Members must refrain from accessing illegal, inappropriate, or bandwidth-intensive content that may affect network performance.

16. Unauthorized downloading, illegal file sharing, or activities violating cyber laws are strictly prohibited.

6. Security & Safety

17. Members must follow all security protocols, including ensuring doors are secured after office hours and preventing entry of unauthorized individuals.

18. CCTV surveillance may be active in common areas for safety and security purposes.

19. In case of fire or emergency, members must immediately contact emergency services (Dial 112) and inform the building administrator.

20. In case of theft or criminal activity, members must report the matter to the nearest police station. Building management is responsible only for common area security.

7. Parking Policy

21. Members must park their vehicles in an orderly manner and ensure that entrances, exits, and pathways remain unobstructed.

8. Membership & Operational Policies

22. Office AC operating hours are 10:00 AM to 7:00 PM, unless otherwise specified by management.

23. All members must sign a membership agreement outlining the terms of use, fees, and responsibilities before using the coworking facilities.

24. Any usage beyond the agreed membership period will be charged at three times the regular daily rate unless prior approval has been obtained from management.

9. Security Deposit & Exit Policy

25. Refund of the Security Deposit will be processed within 7–10 working days after successful handover and signing of the No Objection Certificate (NOC).

26. Successful handover requires members to remove all business registrations, licenses, or online references using the coworking address including: Shop Act registration, GST registration, business registrations, Google listings, social media pages, and any official documentation using the address. Members must provide proof of such removal during exit.

10. Official Communication Policy

27. Any request related to termination of membership, vacating the premises, or discontinuation of services must be submitted in writing as per the notice period defined in the membership agreement.

28. Verbal communication will not be considered valid for official purposes.

29. For any queries, complaints, or support requests, members must submit requests through the official support system or email: support@sjain.freshdesk.com.

11. Feedback & Improvement

30. Members are encouraged to provide constructive feedback or suggestions to management to improve the coworking experience for all users.

Final Note

Management reserves the right to update or modify these policies at any time to maintain safety, operational efficiency, and a professional working environment. Failure to comply with these rules may result in penalties, suspension of services, or termination of membership.

Coworking Centre Disclaimer

This coworking centre operates as a shared workspace facility providing office infrastructure and related services to independent professionals, businesses, and organizations. By entering or using the coworking premises, all members, visitors, guests, and associated individuals acknowledge that they have read, understood, and agreed to the following disclaimer and policies.

1. Nature of Service

The coworking centre provides shared office infrastructure including workspace seating, meeting rooms, internet connectivity, utilities, and related office services. The use of the coworking space does not establish a landlord-tenant relationship. Members are granted a temporary license to use workspace facilities subject to the membership agreement. Management reserves the right to modify services, facilities, seating arrangements, and operational policies whenever required.

2. Personal Property Disclaimer

Members are fully responsible for the safety and security of their personal belongings including but not limited to laptops, mobile devices, documents, business equipment, and valuables. The coworking centre and its management shall not be liable for loss, theft, damage, or misplacement of personal property within the premises. Members are advised not to leave valuables unattended.

3. Independent Business Responsibility

Members operate their businesses independently while using the coworking facility. The coworking centre does not endorse any member business, does not verify legality of business operations, does not participate in business activities of members, and is not responsible for business dealings between members and third parties. All business activities conducted from the premises are the sole responsibility of the member.

4. Payment Transaction Disclaimer

Any financial transaction carried out between individuals or businesses within the premises is strictly their personal responsibility. Such transactions may include payments for work or services, job related payments, business transactions, consulting fees, freelance payments, partnership dealings, and investments or lending. The building management and coworking centre shall not be responsible or liable for any financial transaction conducted between individuals within the premises. Any dispute, fraud, financial loss, or legal issue arising from such transactions will be the sole responsibility of the individuals involved in the transaction.

5. Address Usage Disclaimer

Use of the coworking centre address for business registration including GST registration, Shop Act registration, company incorporation, business licenses, bank registrations, and online listings is permitted only if allowed under the membership plan and agreement. Members are responsible for ensuring full legal compliance for address usage. Upon termination of membership, members must remove the coworking address from government registrations, business licenses, GST records, websites, Google listings, social media pages, and marketing materials. Failure to remove the address may result in withholding of security deposit and further legal action if misuse continues.

6. Internet Usage Disclaimer

Internet services are provided as a shared convenience facility. The coworking centre does not guarantee uninterrupted internet connectivity, fixed bandwidth speeds, or protection against cyber threats or data loss. Members are solely responsible for their online activities. Any illegal internet activity including piracy, unauthorized downloading, cybercrime, hacking attempts, and misuse of digital services shall be the sole responsibility of the member involved.

7. CCTV and Security Disclaimer

CCTV cameras may be installed in common areas of the premises for safety and monitoring purposes. However, the coworking centre does not guarantee complete prevention of theft, accidents, or unauthorized activities. Members are advised to exercise personal caution and follow security guidelines.

8. Visitor Responsibility

Members are fully responsible for the actions and behavior of their guests or visitors. Visitors may be required to register before entering the premises. Management reserves the right to restrict visitor access if required for security or operational reasons.

9. Health and Safety Disclaimer

While reasonable safety precautions are maintained, the coworking centre shall not be liable for personal injury, accidents, or medical emergencies occurring within the premises, except where required by law. Members must comply with all safety guidelines including fire safety procedures and emergency evacuation protocols. In case of emergency, members should contact Emergency Services (Dial 112).

10. Service Interruption Disclaimer

The coworking centre may occasionally experience disruptions due to electricity failure, internet outages, building maintenance, technical issues, government restrictions, and natural events. Management shall not be liable for any financial loss, business disruption, or productivity loss resulting from such interruptions.

11. Shared Workspace Environment

As the coworking centre operates as a shared workspace, management cannot guarantee absolute silence, complete privacy, or uninterrupted working conditions. Members are expected to maintain professional conduct and cooperate with other coworkers.

12. Parking Disclaimer

Parking facilities are provided subject to availability. The coworking centre and building management shall not be responsible for vehicle theft, damage, or accidents occurring in the parking area. Members park vehicles at their own risk.

13. Illegal Activities

Any illegal activities conducted within the coworking premises including financial fraud, illegal business operations, cybercrime, and misrepresentation of business identity will be the sole responsibility of the person involved. Management reserves the right to terminate membership and report such activities to authorities if necessary.

14. Membership Termination

Management reserves the right to suspend or terminate membership in cases including violation of coworking policies, illegal activities, misconduct or harassment, misuse of facilities, and non-payment of dues. Termination procedures will follow the membership agreement.

15. Written Communication Requirement

All official requests including membership termination, vacating the premises, complaints or disputes, and membership changes must be submitted in written form as per the membership agreement. Verbal communication will not be considered valid for official purposes.

16. Limitation of Liability

Under no circumstances shall the coworking centre, its management, employees, or associated entities be liable for indirect damages, loss of profits, business losses, reputational damage, or third-party claims arising from the use of coworking facilities.

17. Policy Updates

Management reserves the right to update or modify these policies and disclaimers at any time to ensure operational efficiency and legal compliance. Members are responsible for reviewing updated policies periodically.

18. Acceptance of Terms

By entering or using the coworking space, all members and visitors acknowledge that they have read, understood, and agreed to comply with the coworking centre rules, policies, and disclaimers. Failure to comply may result in penalties, suspension of services, or termination of membership.

Schedule of Charges & Penalties

The following schedule outlines the additional charges, penalties, and recovery costs that may be applicable in case of violation of policies, delayed payments, misuse of facilities, or damages to property. Management reserves the right to impose these charges where applicable.

If legal action becomes necessary due to non-payment of dues, fraud, misuse of address, or breach of agreement, the member shall be responsible for legal notice charges, recovery charges, legal fees, and court costs.

13. Service Suspension

Management reserves the right to temporarily suspend services including internet access, workspace usage, and meeting room access in case of non-payment of dues or policy violations.

14. Adjustment from Security Deposit

Any outstanding dues including unpaid rent, damages, penalties, and recovery charges may be adjusted from the member's security deposit before refund processing.

15. Management Rights

Management reserves the right to revise the schedule of charges periodically depending on operational requirements.

16. Illegal Business / Fraudulent Activity Penalty

Any member found involved in illegal activities, fraudulent business practices, scams, financial fraud, cybercrime, or misuse of the coworking address for unlawful purposes will be subject to strict action.

17. Police Verification / Compliance Charges

In cases where government authorities, police departments, regulatory agencies, or legal authorities require verification or compliance checks related to a member's business or activities conducted from the coworking premises, the following charges may apply:

18. Extra Electricity Usage Penalty

To maintain fair usage of electricity within the coworking space, the use of high power electrical appliances is restricted unless prior written approval is obtained from management. Prohibited appliances may include electric heaters, induction stoves, electric kettles, microwaves, personal refrigerators, and high power equipment.

Management may also disconnect or remove unauthorized appliances to prevent electrical hazards.

Important Note

All penalties and charges listed in the Schedule of Charges may be added to the member's outstanding dues, or adjusted against the security deposit. Failure to clear dues may lead to suspension of services, termination of membership, or legal recovery proceedings.

19. Employee / Job Offer Scam Protection Clause

The coworking centre strictly prohibits the use of its premises for fraudulent job offers, fake recruitment activities, or employment-related scams. Members conducting recruitment, hiring, or employment-related activities from the coworking premises must ensure that all such activities are legitimate, lawful, and compliant with applicable employment and labor laws.

Under no circumstances shall any member collect money from job seekers in the name of job placement, recruitment, training, or employment processing fees; conduct fake interviews or fraudulent recruitment activities; issue misleading job offers or employment letters; or operate scam call centres or fraudulent employment services. The coworking centre and building management do not participate in or endorse any recruitment activities conducted by members.

Any recruitment activity conducted from the premises shall be the sole responsibility of the member conducting such activities. The coworking centre shall not be responsible for any disputes, complaints, financial losses, or legal issues arising from employment offers or recruitment activities conducted by members.

Management reserves the right to immediately terminate membership and report such matters to law enforcement authorities if fraudulent activities are suspected or confirmed.

Members conducting job interviews must ensure that visitors are properly registered, interviews are conducted professionally, and coworking facilities are not misused for recruitment fraud. The member conducting the recruitment will be fully responsible for the conduct and activities of interview candidates or job applicants visiting the premises.

The coworking centre only provides office space and related facilities. It does not verify, approve, or participate in employment activities conducted by members. Any person dealing with members for jobs, employment, freelance work, or business opportunities does so at their own discretion and risk.

20. Law Enforcement Cooperation Clause

The coworking centre is committed to maintaining a lawful and compliant working environment. In the event that any government authority, law enforcement agency, regulatory body, or court of law requests information or initiates an investigation related to activities conducted by any member from the coworking premises, the management reserves the right to cooperate fully with such authorities.

Such cooperation may include providing membership records and identification documents submitted by the member; sharing access logs or visitor records maintained by the coworking centre; providing CCTV footage from common areas where legally permitted; confirming address usage details related to the member; and responding to official notices, summons, or legal communications. The coworking centre shall comply with all lawful orders, notices, or requests issued by competent authorities.

Members acknowledge that they are solely responsible for ensuring that their business activities comply with all applicable laws and regulations. If any investigation, inquiry, or legal action arises due to the activities of a member conducted from the coworking premises, the member shall be fully responsible for responding to such authorities and resolving the matter.

The coworking centre and its management shall not be liable for any investigation, legal proceedings, penalties, or regulatory action arising from the conduct of any member's business activities. Any such matters shall remain the sole responsibility of the concerned member.

If management is required to allocate time, documentation, or administrative support in responding to official inquiries related to a member's activities, the coworking centre reserves the right to recover reasonable administrative or compliance charges from the member as per the Schedule of Charges.

If credible information or official notice indicates that a member may be involved in illegal, fraudulent, or unlawful activities, the coworking centre reserves the right to temporarily suspend workspace access, restrict services, or terminate membership until the matter is clarified.

Members agree that they shall not engage in activities that may damage the reputation, credibility, or legal standing of the coworking centre. In the event that the coworking centre suffers reputational, financial, or legal harm due to the actions of a member, the management reserves the right to seek recovery of damages as permitted under law.
